PRIVACY POLICY & POPIA COMPLIANCE STATEMENT

Baobab Story Works is committed to protecting the privacy and personal information of our clients and their children. We process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) of South Africa.

To create personalised ebooks, stories, illustrations and invitations, we may collect:

• Parent or guardian name
• Contact information (email address and/or telephone number)
• Child's first name
• Child's age range
• Photographs submitted for illustration purposes
• Story preferences, interests and project requirements
• Any additional information voluntarily provided by the parent or guardian

Personal information is collected solely for the purpose of:

• Creating personalised digital products
• Communicating with clients regarding their orders
• Delivering completed products
• Providing customer support

We will only collect information that is reasonably necessary to complete the requested project.

The protection of children's images is our highest priority.

Photographs supplied for personalised projects are used exclusively for the creation of the requested product and for no other purpose.

Baobab Story Works undertakes that:

• Children's photographs will never be sold, shared or distributed to third parties.
• Children's photographs will never be published on our website, social media platforms, marketing materials or promotional content without prior written consent from a parent or legal guardian.
• Images are used only for the specific project for which they were submitted.
• Access to photographs is limited to individuals directly involved in the creation of the project.

Once a project has been completed and delivered to the client:

• All submitted photographs and image files will be permanently deleted from our active working systems.
• Images will not be retained for future marketing or promotional purposes.
• We do not maintain a library of children's photographs after project completion.

Clients who wish their images to be deleted immediately after delivery may request confirmation of deletion.

Baobab Story Works will never use a child's name, image, likeness or completed project for marketing purposes unless explicit written consent has been obtained from the parent or legal guardian.

The absence of written consent will always be treated as a refusal of permission.

We take reasonable technical and organisational measures to safeguard personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction.

Where third-party services such as Google Forms, Google Drive, email providers or cloud storage platforms are used to collect or process information, such services may process information in accordance with their own privacy policies and security standards.

In terms of POPIA, clients have the right to:

• Request access to personal information held about them.
• Request correction of inaccurate information.
• Request deletion of personal information where appropriate.
• Withdraw consent where processing is based on consent.
• Lodge a complaint with the Information Regulator of South Africa.
